Position Title: Executive Assistant / Day to Day Manager


Salary: $75-120K + Benefits


Position Overview:

Proactive, highly organized, and adaptable Executive Assistant / Day to

Day Manager at management company to support their roster of artists and their manager. This role plays

a vital part in the smooth operation of artists’ careers and management company operations, helping to manage calendars, coordinate logistics, facilitate communication, and oversee ongoing projects. The Executive Assistant / Day to Day Manager will work closely with artists' management team to ensure that all aspects of the artists’ and manager's schedules, projects,

and relationships are handled efficiently and professionally. The role requires the flexibility to

travel on short notice, manage fast-paced changes in schedules and priorities, and be available

outside of "typical" work hours.


Key Responsibilities:

1. Calendar Management & Scheduling:

● Oversee and manage artists' and manager's calendars, ensuring appointments,

rehearsals, studio sessions, meetings, and personal commitments are scheduled without

conflict.

● Proactively manage artists' and manager's schedules, adjusting plans as needed to

accommodate last-minute changes and new opportunities.

● Coordinate with the management team to keep track of internal and external meetings,

press, events, campaigns, and interviews.


2. Project Management & Coordination:

● Assist in the coordination of multiple ongoing projects, including album releases, music

video productions, live performances, and media campaigns.

● Collaborate with artists' team (management, label, publicists, agents) to ensure that

projects are completed on time and within scope.

● Track project milestones, ensuring everyone is aligned and informed on deadlines,

deliverables, and responsibilities.


3. Communication & Liaison:

● Serve as a primary point of contact for communication between artists, managers, and

external parties, including labels, promoters, business managers, and collaborators.

● Draft emails, contracts, and other written communications including budgets, ensuring

they align with the artists’ and manager’s brand and tone.

● Facilitate the flow of information between the artists, manager, and various stakeholders,

ensuring transparency and clarity.


4. Relationship Management:

● Maintain professional relationships with key figures in the industry, including producers,

agents, managers, and other business partners.

● Support artists and manager in identifying new opportunities, partnerships, and

collaborations within the music and entertainment industry.

● Ensure smooth communication between artists' management team and external

collaborators, maintaining a positive working environment.


5. Travel Coordination:

● Organize all travel logistics for artists and manager, including flights, accommodations,

and ground transportation for tours, events, press, and/or last-minute gigs.

● Prepare detailed travel itineraries and provide real-time updates for any changes or

last-minute adjustments.

● Stay flexible and available to handle urgent travel needs or schedule shifts to

accommodate artists’ and manager's dynamic commitments.


6. Administrative Support:

● Provide general administrative assistance to artists and their manager, including

managing contracts, handling confidential documents, and preparing reports or

presentations.

● Help organize studio sessions, rehearsals, press conferences, and other events,

ensuring that all necessary materials and logistics are in place.

● Manage the flow of paperwork and ensure that key documentation is kept organized and

easily accessible.


7. Office & Tour Logistics:

● Maintain a well-organized and efficient office space for artists and manager, ensuring all

supplies, documents, and equipment are ready for use.

● Assist with the logistics of meetings, rehearsals, and events taking place in the office.

● Work in tandem with artists’ management and touring team to execute and oversee

touring logistics.

● Ensure that office operations run smoothly, from organizing daily tasks to supporting

larger, high-priority projects.


8. Problem-Solving & Efficiency:

● Identify and solve potential scheduling conflicts, logistical challenges, and

communication breakdowns in a proactive, timely, and resourceful manner.

● Work with artists' management team to streamline operations, improve workflows, and

make processes more efficient.

● Troubleshoot problems that arise on the road or in daily operations, ensuring minimal

disruption to the artists' and manager’s schedule.


Skills & Qualifications:

● Proven experience as an Executive Assistant / Day to Day Manager or in a similar

administrative role, ideally within the music industry or entertainment field.

● Strong understanding of the music business, especially related to artist management,

promotions, and touring.

● Exceptional organizational and multitasking abilities with a high level of attention to

detail.

● Excellent written and verbal communication skills, with the ability to always represent

artists and manager professionally.

● Proficient with digital tools (Google Suite, Microsoft Office, project management

software, etc.) and social media platforms.

● Flexible and able to adapt quickly to shifting schedules, last-minute changes, and urgent

travel needs.

● Discreet, reliable, and comfortable handling confidential and sensitive information. ·

Must be willing to travel and assist in managing on-the-road logistics.

● Timely and seamless management of artists and manager’s calendars and schedules.

● Efficient project management and successful execution of ongoing projects, from album

launches to promotional campaigns.

● Clear and effective communication with all team members, collaborators, and industry

contacts.

● Successful and smooth execution of travel plans, including last-minute changes.

● A well-organized, functional, and efficient office environment and tour logistics.
